Let Kraal Run the Routine (Review by Exception)
App path: Autonomy & Trust and Daily Board
Use this scenario when you want Kraal to carry the repetitive, low-risk work on a client so your team reviews decisions by exception instead of approving every routine item one at a time.
Goal
Move a client from "Kraal proposes, a person approves everything" to "Kraal runs the routine, a person reviews the judgment calls." You keep full control of money movement, period locks, and anything client-facing, and you can see and steer exactly what Kraal is allowed to do on its own.
What runs on its own, and what always asks
Kraal only auto-posts work that clears every safety rail at once: the family is trusted for this client, the amount is inside the automatic materiality ceiling for that trust level, the evidence confidence is high enough, and the period is open. Anything that misses a rail is held for a person.
- Can earn automatic handling: transaction categorization batches and AR reminder draft/queue preparation inside an already-approved cadence.
- Always asks a person, regardless of trust: AP payment execution, period locks, and any client-facing send. These never auto-run in this program.
- Cold start: a new client or a family that has not earned trust auto-posts nothing by default. Trust is earned, not assumed. The one shortcut is deliberate: a client who arrives with imported history can have proven vendors granted on day one, because their own books are the evidence. See Day One with a New Client.
Recurring Journal Entries follow their own current workflow. See Recurring Entries before treating a scheduled entry as posted.
The per-family auto-clear ceiling is automatic. It is derived from the family's earned trust and the client's materiality, and it rises or falls on its own as the family proves out or gets corrected. You steer autonomy by choosing the client's mode and preset and by approving or tightening families, not by hand-tuning a dollar amount per family. See Autonomy and Safety for the full guardrail list and the client-level caps.
Setup checklist
- Open Autonomy & Trust (left nav, "Automatic posting and receipts") for the client.
- Confirm Kraal run policy shows the client is enabled for automatic posting. If it is paused, Kraal keeps preparing work but posts nothing until you re-enable it.
- Read the Per-Family Trust panel. Each row shows a work family, whether Kraal posts it on its own or still asks first, and whether a safety brake has paused a scope after a recent correction.
- Review Pending Promotion Proposals. These are families or vendors Kraal is asking to handle on its own. Approving a proposal grants standing authority for that scope. It does not post anything to the books by itself.
- Only an owner or firm-admin role can approve a promotion or change what runs automatically. Preparer and reviewer roles can still do routine review.
Daily checklist
- Open Daily Board.
- Read What Kraal did without you. This is the count of items Kraal handled on its own since midnight, with a link to the audit trail for partner-shareable detail.
- Work the Awaiting your judgment queue. This is the exception queue: only the items Kraal did not auto-clear because they needed a person.
- Check Open exception watch for anything Kraal flagged as an anomaly or held back for review.
- On Work List, use Run Kraal Sweep when the page says work is safe for Kraal to continue. The sweep result reads back as completed, skipped, held for you, and rejected. "Held for you" means Kraal prepared the work but left the decision to a person on purpose.
- When you correct something Kraal posted, the family scope demotes automatically and starts asking again until it re-earns trust. That is expected and healthy.
How trust changes over time
- A family earns broader auto-posting after a run of clean, accepted work.
- A single correction pauses the scope and drops it back to asking first.
- Recovery takes a shorter clean run than the first climb, so a good family bounces back quickly without losing the safety reset.
- You can revoke or tighten a family at any time from Autonomy & Trust. Tightening only ever removes authority, it never widens it.
What good looks like
- The exception queue is short, and every item in it genuinely needs a person.
- "What Kraal did without you" has real receipts behind it in the audit trail.
- Money movement, period locks, and client sends still show up as human approvals, never as auto-posted work.
- Per-family trust matches your comfort level, and the auto-clear ceiling tracks earned trust on its own rather than needing per-family hand-tuning.
- When Kraal gets something wrong, you see the correction demote the scope and the item comes back for review.
