Email Briefings
Kraal uses email for two different jobs:
| Briefing | Purpose | Typical recipients |
|---|---|---|
| Daily action briefing | New or changed work that needs attention now | The assigned client owner, with firm-wide oversight for critical or unowned work |
| Weekly activity summary | A factual record of what happened during the last seven days | Active internal firm owners and administrators with organization-wide access |
The daily email is intentionally selective. It is not a copy of every open item, and Kraal does not send a reassuring “nothing to do” email. Use Portfolio for the firm's operating view or Dispatch Today for the complete Dispatch queue.
Daily action briefing
Kraal normally sends an action briefing once on weekday mornings, around 8:30 a.m. by default in your firm's configured time zone. It sends only when qualifying work is new or has changed since that recipient's last briefing.
The briefing includes pending, actionable critical and high-priority conditions. Examples can include a close blocker, reconciliation issue, failed connection, or client input that is holding up work. Medium- and low-priority signals stay in Kraal rather than filling the morning email.
Each client appears once, with:
- the highest urgency affecting that client;
- up to three clear action lines, including the next useful step; and
- a link back to that client's Dispatch work.
A briefing shows up to five clients. For an included client with more than three action lines, the email says that additional conditions remain. Always open Kraal for the full queue. Related close and reconciliation signals may be combined when they point to the same underlying problem.
Who receives the daily briefing
- High-priority work goes to the assigned internal client owner when that person can access the client.
- Critical work also goes to active internal team members with firm-wide oversight so it is not dependent on one person's inbox.
- If high-priority work has no available owner, it goes to the firm-wide oversight recipients instead of disappearing.
- External client collaborators do not receive the firm's operational briefing.
Every recipient sees only clients and entities they are allowed to access. Two people at the same firm may therefore receive different briefings.
Weekly activity summary
The weekly summary is normally sent at the start of the week—Monday by default—to active internal firm owners and administrators with organization-wide access. It covers the previous seven days and is skipped when there is no reportable activity.
It reports recorded facts rather than estimates:
- client audit activity;
- entries with a confirmed posted receipt;
- reversals, shown separately from postings; and
- posted amounts separated by currency rather than combined into a misleading total.
The summary does not describe an entry as automated unless the recorded evidence supports that conclusion. If a very large activity set prevents a complete total, the email says that the source total is incomplete.
Why an expected email may not arrive
An absent email does not automatically mean delivery failed:
- The daily briefing is skipped when there is no new or changed critical/high work for you.
- The weekly summary is skipped when the firm has no reportable activity for the period.
- You may not be the assigned client owner or an organization-wide owner/administrator.
- The work may belong to a client or entity outside your access.
Open Dispatch to confirm the live queue. If qualifying work is visible there and the expected email is still missing, check your spam folder and follow the Dispatch troubleshooting steps.
Keeping email useful
Use the daily briefing as a short attention list, not as the firm's complete work queue. Resolve the underlying work in Kraal, and refine noisy Dispatch rules when a signal is repeatedly not useful. Use the weekly summary for oversight and the audit trail—not as a substitute for reviewing today's decisions.
