Formula-Driven Register Workbooks

The Debt, Leases, Prepaid & Deferred, Fixed Assets, and Accruals registers each offer a formula-driven Excel working paper. Use it when a reviewer needs the period-by-period schedule behind a register balance, wants to trace the math, or needs a controlled what-if model.

This download is separate from the existing Export CSV and Export Excel actions. Those exports remain static register snapshots. Export schedule (formula workbook) downloads an .xlsx with live schedule formulas.

Export a workbook

  1. Select the client and open the relevant register in Close Prep.
  2. Confirm the register's as-of month.
  3. Choose Export schedule (formula workbook).
  4. Open the downloaded file in Excel and allow calculation to finish.
  5. Preserve the original download before saving any what-if version.

The export is client-wide and can include information from every entity under the selected client. If your access is limited to a particular entity, the formula-workbook action may not be available.

What is in the workbook

Each active register item gets its own worksheet. Every worksheet includes:

  • an Inputs block containing the terms used to build the schedule;
  • a period-by-period Schedule whose calculated columns contain Excel formulas;
  • a Summary that reads the schedule at the selected as-of month; and
  • one or more Tie-out rows comparing the worksheet result with Kraal's result at export time.

Yellow cells are editable scenario inputs. Calculated cells and schedule formulas are protected to help preserve the working paper. Editing the workbook never changes the register, the close, or the books in Kraal.

What each register calculates

RegisterFormula workbook includes
DebtLevel payment or contractual payment override, interest, principal reduction, and remaining principal by month. If no payment override exists, the workbook derives the payment from the debt terms.
LeasesLease-liability rollforward, payment split, and right-of-use asset rollforward. Operating and finance classifications follow their respective presentation.
Prepaid & DeferredMonthly recognition, recognized-to-date, and remaining balance, including the final-period rounding adjustment.
Fixed AssetsMonthly depreciation, accumulated depreciation, and net book value for straight-line or double-declining assets, including imported opening depreciation where available.
AccrualsMonthly recognition for each active accrual schedule, accrued-to-date at the as-of month, and the remaining balance. See Accrual Identification.

Revenue contracts are not part of this formula-workbook export. Their Contracts, Customers, and Transactions pages provide static CSV and Excel exports, while the recognition schedules remain reviewable in Kraal.

Read the tie-out

The Kraal comparison value is fixed when the file is exported. After you change a yellow input for a what-if analysis, DRIFT is normally expected: the worksheet has recalculated, while the comparison still represents the original register. Restore the original inputs or download a fresh workbook to test the baseline tie-out again.

WARNING

An OK tie-out confirms that the exported schedule math agrees with Kraal for the selected as-of month. It does not prove that the underlying contract, asset life, classification, accounts, or other source terms are correct. Those remain reviewer judgments.

Review and retention checklist

  • Confirm the client, as-of month, currency label, and schedule name.
  • Compare the yellow inputs with the signed agreement or other source support.
  • Confirm the classification and method are appropriate.
  • Require OK on the untouched baseline workbook.
  • Review the period amount and ending balance against the close proposal.
  • Save scenario versions under a new filename so the original export remains available as evidence.
  • If a worksheet says the schedule is unavailable, correct the register rather than filling in the protected schedule by hand.

The exported formula grid is sized to the register terms that existed at export time. Do not change the live register merely to create a longer hypothetical model. Use a separate, firm-approved scenario model for that analysis. Update the register and download a new workbook only to correct data that does not match the authoritative support, or to record an approved change to the source terms. Follow the normal correction and approval workflow; changing a started schedule can affect future calculations and produce a catch-up for review.

Formula workbook or close binder?

Use the formula workbook for tracing and what-if review. Use the close binder and its supporting schedules as the retained record of the completed close. Editing a downloaded workbook does not update or supersede the close binder.
